Roles and Permissions: Owner, Admin, and Member
Every Orbiform workspace has exactly one owner, plus any number of admins and members. Roles control who can manage billing, invites, and API keys — not who can build forms, which every role can do.
1. Owner, admin, and member
Owner — the workspace's single top-level role; only the owner's account is billed, and ownership isn't transferable through the regular UI. Admin — has the same permissions as the owner everywhere else: inviting or removing members, managing billing, renaming the workspace, and managing API keys/MCP connections. Member — full access to create, edit, publish, and comment on every form in the workspace, but can't manage billing, invites, or API keys.
2. What members can (and can't) do
Members are full collaborators on forms: they can build with the AI Builder or manually, publish, view responses and analytics, and post comments and @mentions — see Comments and Team Collaboration. What's off-limits to a member is anything workspace-level: inviting or removing teammates, changing billing, or managing API keys/MCP connections.
3. Inviting teammates and assigning roles
From Settings → Team, enter a teammate's email and click Invite — if they already have an Orbiform account, they're added instantly; otherwise a shareable invite link joins them automatically once they register with that same email. Set their role to admin if they should share billing, invite, or API-key management with you, or leave them as a member for everyday form-building access.
4. Removing someone's access
An owner or admin can remove any member or admin from Settings → Team — they lose access to every form in that workspace immediately, though their past comments and edits stay attached to the forms they made them on.
5. Narrowing or removing access to one form
Every form is shared with the whole workspace by default — any member can open and edit it. To change that for a specific person on a specific form (without removing them from the workspace entirely), open that form and click the stack of avatars in the top-right corner. The form's own creator, or a workspace owner/admin, can set each person to:
- Editor — the default: full access to edit questions, settings, and view responses.
- Viewer — read-only: can open the form and its responses, but can't change questions, settings, or delete it.
- No access — the form disappears from that person's dashboard entirely, including Trash, Charts, and the ⌘K form switcher.
Owners, admins, and the form's own creator always keep full access and can't be narrowed this way. Changing someone's access sends them a notification (and an email, if they have notifications turned on in Settings → Account).
