Connect Calendly to Embed Live Booking
The Calendly integration lets respondents schedule a real appointment without ever leaving your form. Once a form is connected to a Calendly account, add a Calendly Booking question and Orbiform embeds a live, interactive scheduling calendar for one of that account's event types — availability, time zones, and confirmations are all handled by Calendly in real time.
1. Prerequisites
- A Calendly account (any plan) with at least one active event type — for example, a "30 Minute Meeting" or "Intro Call".
- Owner or admin access to the Orbiform workspace the form belongs to — connecting and disconnecting Calendly is restricted to those roles.
2. Connect a form to Calendly
Open the form, go to its Integrations tab, and click Connect Calendly. You'll be redirected to Calendly to sign in and authorize Orbiform — this uses Calendly's standard OAuth flow, so your Calendly password is never shared with Orbiform.
Once authorized, you're redirected back to the Integrations tab and the connected account (name and email) is shown there. Want another form to offer booking too? You don't need to reauthorize — open that form's Integrations tab and pick your already-connected Calendly account from the dropdown instead of starting a new sign-in. The same account can power booking questions on as many forms as you like.
You can also start the connection without a specific form open: go to Settings → Integrations and click Add connection — pick Calendly, sign in, and optionally assign it to a form right away or leave it unassigned and attach it from a form later.
3. Add a booking question
In the form editor, add a new question and set its type to Calendly Booking, then choose which connected event type it should embed (for example, "30 Minute Meeting"). A single connected account can power multiple booking questions on the same form, each pointing at a different event type — useful if you want respondents to choose between, say, a sales call and a demo.
4. What respondents see
When a respondent reaches the question, Calendly's own scheduling calendar loads inline, showing your real, live availability in the respondent's local time zone. Once they pick a time and confirm, Orbiform records the booking as that question's answer and the respondent continues (or finishes) the form as normal. The appointment also appears in your connected Calendly account exactly like any other booking — confirmation emails, calendar invites, and reminders are all handled by Calendly.
5. What Orbiform can (and can't) access
Orbiform only uses the connection to read your event types and embed the public scheduling widget — it cannot see your calendar, contacts, or past bookings beyond what the widget itself needs to display availability. Access and refresh tokens are encrypted at rest and are never exposed to respondents filling out the form.
6. Disconnecting
Click Disconnect next to the connected account in the form's Integrations tab to detach Calendly from just that form. Any "Calendly Booking" questions on that form stop loading a calendar until you reconnect — nothing already booked in Calendly is affected, and existing responses keep whatever booking was recorded at submission time.
7. Managing connected accounts
See every Calendly account connected to your workspace, and how many forms each one is used by, under Settings → Integrations → Connected apps. Each account is listed once, with every form using it nested underneath it — so it's clear at a glance which forms share the same account. Removing an account there is different from disconnecting a single form — it removes the account entirely, and every form using it stops offering booking; the confirmation dialog shows exactly how many forms will be affected before you confirm.
8. Troubleshooting
- "This question isn't configured yet" on the public form — no event type has been picked yet for that question; open it in the form editor and choose one.
- No event types show up in the picker — make sure the connected Calendly account has at least one active event type; paused or archived event types aren't offered.
- Connection stopped working — this usually means the Calendly authorization was revoked from the Calendly side. Reconnect from the Integrations tab to restore it.
